Account & Registration Data: When you sign up for ShieldDoc or start your 7-day free trial, we collect your name, work email address, organisation name, and billing information.
Document & Workflow Data: Documents you upload, the workflows you create, approval chains you configure, and AI-extracted data outputs are processed and stored on our platform. This data is yours — we process it solely to deliver the service.
Integration & Activity Data: When you connect ShieldDoc to CRM systems, ERP platforms, WhatsApp, or email services, we collect the necessary authentication tokens and activity logs to maintain those integrations.
Usage & Platform Data: We automatically collect information such as IP address, browser type, device information, pages visited, workflow activity logs, and feature usage patterns to monitor performance and improve the platform.
Support & Communication Data: If you contact our support team or submit a demo request, we collect the information you provide in those interactions.
We use the information we collect for the following purposes:
To provide and operate the ShieldDoc platform, including document approval workflows, AI-powered data extraction, real-time workflow tracking, reporting and analytics, and compliance management features. To process your subscription, manage billing, and deliver your 7-day free trial. To send important service updates, security notifications, and product announcements. To improve platform performance, develop new features, and personalise your experience. To respond to support requests and resolve technical issues. To comply with applicable legal and regulatory obligations.
We never sell your personal data or document data to third parties. We do not use your document content for advertising purposes.
ShieldDoc is an enterprise workflow automation platform, and the documents processed through it may contain sensitive business information. We treat all document content with strict confidentiality. Your documents are processed exclusively to deliver workflow automation, AI extraction, approval routing, and reporting features — and for no other purpose. Our staff do not access document content except where explicitly requested by you for support purposes, or where required by law.
We do not sell or rent your data to any third party. We may share limited data with trusted service providers who assist us in operating the platform — such as cloud infrastructure providers, payment processors, and customer support tools — under strict confidentiality agreements. These providers are only permitted to use your data to perform services on our behalf.
When you connect ShieldDoc to third-party platforms (CRM, ERP, WhatsApp, email), data is shared with those platforms only to the extent required to operate the integration you have configured. You control which integrations are active.
We implement enterprise-grade security measures to protect your data across all aspects of the ShieldDoc platform. This includes encryption of data in transit and at rest, role-based access controls, audit logging of all platform activity, multi-region data redundancy, and continuous security monitoring. While we apply best-in-class security practices, no method of transmission over the internet can be guaranteed to be 100% secure. We encourage users to configure role-based access permissions appropriately within their organisation.
We retain your account data and document data for as long as your subscription is active. If you cancel your subscription, we retain your data for 90 days to allow for account reinstatement, after which it is permanently deleted. Audit logs and compliance records may be retained for longer periods where required by applicable law. You may request early deletion of your data at any time by contacting privacy@shielddoc.com.

ShieldDoc is an enterprise platform designed for use by organisations and business professionals. We do not knowingly collect personal data from individuals under the age of 18. If you believe a minor has provided us with personal information, please contact us at privacy@shielddoc.com and we will take steps to remove that data promptly.
We may update this Privacy Policy from time to time to reflect changes in our platform, legal requirements, or business practices. When we make material changes, we will notify you via email or through an in-platform notification at least 14 days before the changes take effect.
